Vision SV

Vision SV is an integrated Workshop system which manages Service done and Spare Parts used in the workshop. It gives a comprehensive analysis of data, calculate the incentives for Mechanics, Service Advisors (SA), Foremen, SMS the Customers, and it is complete with many other outstanding features.

Features :


Estimation

  • Estimation is usually made so that customers would know in advance how much it costs to service or repair their vehicles. It contains some information such as customer and vehicle data, worklist to do, spare parts name, quantity needed and their prices.
  • The content of an Estimation can be entered manually or retrieved from a predefined template.
  • This template usually consists of Periodical Maintenance works or a list of works often done. It also contains spare parts name, quantity needed and their prices. By having a predefined template, we may speed things up since no extra typing is needed to enter those worklist and spare parts.
  • An Estimation usually needs to be approved by customer before a corresponding Work Order may be issued.

Work Order

  • Once Estimation is done and approved, its data may flow into Work Order without double entry.
  • Work Order contains estimation of Price and Finish Time which can be analyzed later in comparison to actual Price and Finish time.
  • History of Customer visits can all be viewed starting from the most recent ones.

Service Invoice

  • Service Invoice is integrated with the screen to display Vehicles which are already finished.
  • Billing can be directed to other party, for example insurance company.
  • Service Invoice is linked to Parts taking and managed so that all Parts used are included in the invoice and billed.

Down Payment

  • Sometimes it is necessary for customer to pay down payment before Body & Paint work is done. The cashier then gives receipt for every payment he or she receives.
  • When the sales invoice is done and closed, our system automatically uses this down payment to reduce the Account Receivable balance of that customer.

Aging

  • Aging of Account Receivable and Account Payable is broken down into several columns such as Not Due Yet, 0-14 days (2 weeks), 15-28 days (4 weeks), 29-56 days (8 weeks), 57-84 days (12 weeks), and more than 12 weeks. Every day the Outstanding Balance may move automatically to a different column according to their age.
  • We can choose when the aging starts. It can be one day after we close the sales invoice or one day after the due date in the sales invoice.

Customer Visit

  • Group Customers based on their visit frequency.

Active & Inactive Customers

  • Select Active & Inactive Customers based on the given criteria.

Membership System

  • Membership is used to retain Customers by giving certain discounts or points that can be used again for payments.
  • Analysis for New Members, Extended Members, Expired Members or Inactive Membership.
  • Analysis of FRT (Flat Rate Time) of each Member.

E-Invoice for Tax Purposes

  • Sales Invoice can be exported into CSV form to be used for online tax purposes.

Multi Warehouse, Multi Location

  • The same item can be in different Warehouses or Locations. Location can be anything inside a Warehouse, e.g. specific place or location on the floor or on a shelf.

Data Grouping

  • Each item may be assigned group and subgroup for analysis purpose.

Item Substitute

  • An item may have a substitute, one or more items which are similar and can replace it. If item A has a substitute B and C, then when item A is not available, our system will offer to sell items B and C. Similarly, if item B is not available, then items A and C will be suggested.

Complete Stock Keeping

  • Item stocks are presented in 2 parts: Qty of Free Stock and Qty of Picked Stock (items which are in the process of becoming sold and cannot be used for other transactions).

Item Moving Category

  • Each item is automatically marked based on its average monthly consumption as:
    1. Fast Moving
    2. Medium Moving
    3. Slow Moving
    4. Almost Dead Stock
    5. Dead Stock
    6. Initial / New Item

Minimum and Maximum Qty

  • Minimum Qty and Maximum Qty of each item is calculated automatically by system based on the transaction history of each item and some other parameters. This will make sure the items will be available with needed Qty, not overstocked nor understocked.

Comprehensive Item Master

  • Each item in Item Master has information such as item name, item alias (other name), list of item substitute, warehouse, location, remaining qty, pick qty, order qty, back order qty, minimum qty, maximum qty, unit of measurement, item group, item subgroup, sales price, purchase price, discount, date of last sold, last purchased, cost of good sold, moving category, and so forth. You can also see details of monthly and yearly transaction history of each item from this Item Master.

Stock Level

  • Stock Level measures the efficiency of your Spare Parts availability. You might want to keep your Stock level low enough so you can have extra money for the Cash Flow but high enough to have a good Service Ratio.

Service Ratio

  • Service Ratio measure how much you can make available in comparison to what Customer needs. The more ready you are with what items Customer needs, the higher is your Service Ratio.

Active & Inactive Items

  • List of active and inactive items based on their transactions.

Average Monthly Consumption

  • Average Monthly Consumption is the average of items sold and/or used for several months.

Order Suggestion

  • Our system can suggest which items to order based on its Minimum Qty, Maximum Qty and Stock availability.

Top Sales Qty and Sales Value

  • Keeps track of each item sales and sort them by greatest sales in Qty or greatest sales in value.

Comprehensive Transactions History

  • Each item's transaction history can be seen from Item Master and can be selected according to the desired period.

Comprehensive Daily and Monthly Reports

  • Reports can be shown daily and monthly. They can also be sorted or grouped by transaction date, invoice number, etc.

Profit and Loss Report

  • Profit and Loss can be calculated for each item group, subgroup, invoice or even for each item in the invoice.

E-Invoice for Tax Purposes

  • Sales Invoice can be exported into CSV form to be used for online tax purposes.
